Meeting bookings

Let visitors book a meeting from your website, with Google Calendar availability and clear cancellation and rescheduling.

Bookings adds a Book a meeting page at /book on your website. Visitors choose a time and verify their email; they do not need a Mezaic account. It is optional and starts switched off.

Set up your booking page

  1. Enable Bookings in Features, then open Audience → Bookings.
  2. Connect your Google account. Mezaic uses it to check calendar availability and manage the meetings booked through your website.
  3. Choose the calendar where meetings will be saved. You must own this calendar. Select the other calendars Mezaic should check for conflicts; the destination calendar is always checked.
  4. Set your meeting title, duration, time zone and weekly hours. Add days off, breaks before and after meetings, minimum notice and how far ahead guests may book.
  5. Choose Google Meet or supply an HTTPS meeting link, then enable bookings and save.

There is one meeting type per website and one connected Google account per Mezaic account. Websites owned by the same account share conflict protection. Your website must be public to accept bookings. If Google Calendar is not yet available on the platform, the page explains that setup is still needed.

Personal websites show a booking link when bookings are enabled. Blog navigation can use the Book a meeting destination in Appearance, including as the main action. A booking link is added to an existing blog menu when space is available and you have not explicitly configured that destination.

What guests see

Times initially use the visitor’s time zone, which they can change. The guest selects a time, enters a name and email, optionally adds a short note, and enters the six-digit code sent by email. The slot is checked again after verification and is only reserved then.

The result shows whether the calendar is still being updated or the meeting is confirmed. Confirmed meetings include the join link, a calendar download and a private management link. Keep that link: it lets the guest cancel or reschedule without signing up. It remains available even if the website is unpublished or stops accepting new bookings.

Google sends the calendar invitation. Mezaic sends confirmation and change emails to the guest and host. The guest receives one reminder: 24 hours before when possible, otherwise one hour before. Meetings booked less than an hour ahead receive confirmation only. Guests should check their spam folder if email is missing; meeting details are also available on the confirmation page. Booking a meeting does not subscribe the guest to a newsletter.

Manage appointments

Use Upcoming and Past & cancelled in Bookings to find an appointment. Cancellation and rescheduling require an explicit action; a pending calendar update is shown until Google accepts it. A reschedule keeps the original time reserved until the new time is saved. The original Google event and its break still block overlapping proposed times, so moving a meeting a few minutes may require choosing a later free slot.

Changes made directly in Google Calendar are checked periodically, so they may take a few minutes to appear in Mezaic. Availability checks use current Google busy times. If another tool writes a conflicting event at exactly the same time, Google does not offer an atomic check-and-book operation; avoid running competing booking tools against the same schedule.

Turn off Enable booking page and click Save settings to stop new appointments while keeping existing ones manageable. To disconnect Google or delete a website/account, first complete or cancel active appointments and wait for pending updates to finish. If Google access expires, reconnect the same Google account so Mezaic can finish those updates.

Troubleshooting

No times appear. Check weekly hours, your time zone, days off, notice and booking horizon. Events marked busy on any selected calendar block those times.

Google Calendar needs reconnecting. Reconnect from Bookings and allow the requested calendar permissions. Your existing meetings are retained.

A booking says pending. Mezaic is waiting for Google or retrying a temporary failure. Keep the management link and check again; do not submit another booking for the same meeting.

Google Meet is unavailable. Some calendars do not support Meet. Choose a calendar that supports it or supply your own meeting link.
